Who we are
Edmate is a school management system used by schools in Ghana. It has a web app for school staff and a mobile app for parents and guardians. This policy covers both, and this website.

Schools and Edmate
Each school decides what student records it keeps in Edmate and who can see them. Edmate stores and processes those records on the school's behalf. To see, correct or remove a student's records, contact the school; we will help the school do it.
What we collect
- Staff accounts: name, email address, phone number (optional), role, and sign-in history used to protect the account.
- Parents and guardians: name and the phone number the school has on file. You sign in to the app with that number and a code sent by SMS.
- Student records the school enters: name, class, attendance, results and report cards, fee bills, payments and balances, and school announcements.
- Payments: when a parent pays fees online, the card or mobile money details are entered on Paystack's secure page, not in Edmate. We receive the amount, date and payment reference only.
- On your phone: the app keeps your sign-in session in the phone's secure storage so you stay signed in.
The app does not use your location, contacts, camera or photos, does not show advertising, and does not track you across other apps or websites.
How we use it
- To run the service for your school: records, results, attendance, fees, receipts and announcements.
- To sign you in and keep accounts secure, including sign-in codes and password resets.
- To send SMS and email messages the school or you have turned on, such as payment confirmations, fee reminders and report notifications.
- To give support and fix problems.
We do not sell personal information or use it for advertising.
Who we share it with
- Your school, which owns the student records.
- Service providers that help us run Edmate, only for that purpose: Paystack (online payments), Arkesel (SMS messages), our email provider, and the companies that host our servers.
- Authorities, only when the law requires it.
Children
Edmate holds information about students because their school uses it. The mobile app is for parents and guardians, and the web app is for school staff; neither is meant to be used by children. Parents see only their own children's records.
How long we keep it
We keep a school's records for as long as the school uses Edmate, and afterwards only as long as the school asks us to or the law requires. Sign-in records used for security are kept for a short time and then deleted.
Security
Information is sent over encrypted connections (HTTPS). Passwords are stored in a form that can't be read back, accounts are locked after repeated wrong passwords, and staff only see what their role allows. Changes to payments and fees are recorded in an audit log.
Your choices
- Delete your parent account: in the app, open Settings and tap Delete account. Your sign-in and your personal details are removed straight away. The school keeps its own student and payment records.
- SMS messages: turn payment, announcement and report texts on or off in the app's Settings. Sign-in codes are always sent.
- Access or correct information: contact your school, or email us at edmategh@gmail.com.
You also have rights under Ghana's Data Protection Act, 2012 (Act 843), including to ask what information is held about you and to have it corrected.
Changes to this policy
If we change this policy we will update the date at the top of this page, and tell schools about important changes.
